Privacy Policy
Last updated: September 1, 2026
This policy explains what IntelCost LLC (“IntelCost,” “we,” “us,” or “our”) collects when you use intelcost.io and the IntelCost takeoff and estimating software (together, the “Service”), why we collect it, who we share it with, and what you can do about it.
It does not cover the practices of companies we do not control. Examples given here are illustrative, not exhaustive.
1. What We Collect
Account and contact information. Your name, job title, email address, and the workspace you belong to. If you contact us or request a demo, we also collect your phone number and whatever you write to us.
Payment information. Payments are processed by Stripe. We receive confirmation of a payment, your plan and seat count, and subscription status. We never see or store your full card number.
Your Content. The drawings, PDFs, sheets, measurements, takeoff items, counts, surfaces, assemblies, rates, estimates, comments, and project information you upload or create. This belongs to you — see our Terms of Use.
Usage and device information. IP address, browser and device characteristics, pages and features used, timings, error reports, and performance data.
Security and anti-abuse information. This is the part most policies leave vague, so we are specific.
When you sign up and when you sign in, we look up your IP address using MaxMind’s GeoIP service and record:
- your country and city
- approximate coordinates derived from your IP, which are city-level and do not identify your address
- whether the IP appears to be a VPN, proxy, hosting provider, or Tor exit node
- a device fingerprint — a value derived from your browser and device configuration
We store these alongside your email, account, and workspace in a security log. We use that log to:
- detect the same device being used to create many accounts
- detect sign-ins from distant locations within an implausibly short interval
- block sign-ups using disposable or temporary email addresses
- investigate suspected abuse of free access or of the Service itself
We do this to protect the Service from abuse. We do not use it for advertising, and we do not sell it.
Community. If you post in the community area, we collect the post, your display name, and any attachment. Community posts are visible to others.
Information from other people. A colleague may add your email when inviting you to a workspace.
2. How We Use Information
- to run, maintain, support, and secure the Service
- to process payments and manage subscriptions and seats
- to answer support requests
- to send account, billing, and service notices
- to detect, investigate, and prevent fraud, abuse, and security incidents
- to understand and improve how the Service performs, using de-identified or aggregated data
- to meet legal obligations and enforce our agreements
Your Content. We access it only as needed to operate, support, and secure the Service for you. We do not sell it. We do not use it for advertising. We do not use it to train artificial intelligence models.
3. AI-Assisted Features
Some features send part of Your Content to a third-party AI provider. We want you to know exactly which, and exactly what leaves.
| Feature | What is sent |
|---|---|
| Region questions | An image of the drawing region you select, plus your question |
| Schedule extraction | An image of the region you select, plus that region’s text from the PDF |
| Title block reading | An image of the title block area of a sheet |
These requests are processed by Google’s Gemini models, accessed through our platform provider’s AI gateway. The whole drawing set is never sent — only the region you choose. We do not permit the provider to use your content to train its models.
We record the number of tokens each request consumes so we can meter usage against your plan. That record contains counts and timestamps, not the content of the request.
If you never use these features, none of Your Content is sent to an AI provider.
4. How We Share Information
We do not sell your personal information.
Service providers. We share only what each needs to do its job:
| Provider | Purpose | What they receive |
|---|---|---|
| Supabase | Database, authentication, file storage, realtime | Account data and Your Content, hosted in the United States |
| Stripe | Payments | Billing contact and payment details you enter |
| MaxMind | IP geolocation and VPN detection | Your IP address |
| Google (via our platform’s AI gateway) | AI features in Section 3 | The drawing region you select |
Each is bound by confidentiality obligations.
Inside your workspace. If you work in a workspace owned by your employer, the owner and administrators can see your content and activity in it. Other members can see your name, your email address, and the work you contribute to the workspace. Takeoff records store the user who created them and when.
Public share links. If you or a colleague creates a public link to a project, anyone holding that link can view what it exposes without signing in. Treat those links as public.
Legal. We may disclose information in response to a subpoena, court order, or other legal process, or to protect the rights, property, or safety of IntelCost, our users, or the public.
Business transfers. In a merger, acquisition, or sale of assets, information may transfer as part of that transaction. We will tell you before your information becomes subject to a different policy.
5. Cookies and Similar Technologies
We use cookies and browser storage to keep you signed in, remember your preferences, and understand how the Service is used. Most browsers let you refuse or delete cookies. Some parts of the Service will not work if you do. We do not currently respond to “Do Not Track” signals.
6. How Long We Keep Information
We keep personal information while your account is active and afterwards as needed to provide the Service, meet legal obligations, resolve disputes, and enforce our agreements.
After your account is terminated we may delete Your Content beginning 30 days later, as described in our Terms of Use. Copies may persist in backups for a limited period before rotating out. Security and anti-abuse logs are kept for a limited period for the purposes described in Section 1.
7. Security
We use administrative, technical, and organizational safeguards designed to protect your information, including encryption in transit and at rest, row-level access controls in our database, and role-based permissions in the application.
No system is perfectly secure and we cannot guarantee absolute security. If you believe your account has been compromised, contact support@intelcost.io immediately.
8. Children
The Service is for business use and requires you to be 18 or older. It is not directed to children, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has given us personal information, write to support@intelcost.io and we will delete it.
9. Where Your Information Is Processed
IntelCost is based in the United States, and information we collect is processed and stored in the United States. If you use the Service from elsewhere, you understand your information will be transferred to and processed in the United States.
10. Your Choices and Rights
Access and correction. You can view and update your account information in the Service at any time.
Export. You can export your takeoff and estimate data from the Service to Excel, and print sheets and reports to PDF using the Print tool.
Deletion. Write to support@intelcost.io to request deletion of your personal information. We will respond as the law requires, and may keep information we are required or permitted to retain.
Marketing email. Unsubscribe using the link in any marketing email, or write to support@intelcost.io. We will still send messages about your account, billing, and important service notices.
Texas residents. Under the Texas Data Privacy and Security Act you may have the right to confirm whether we process your personal data, access it, correct it, request deletion, obtain a portable copy, and appeal a refusal. We do not sell personal data or use it for targeted advertising or profiling with legal effects. Write to support@intelcost.io to exercise these rights.
California residents. Under California law you may have the right to know what personal information we collect, use, and disclose, to request access or deletion, to correct inaccurate information, and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined under the CCPA. Write to support@intelcost.io.
Other states. Residents of other states with comprehensive privacy laws may have comparable rights. Contact us and we will honor them where they apply.
We will verify your identity before acting on a request, and will not treat you differently for making one.
11. Changes to This Policy
We may update this policy. Updates are posted here with a revised “Last updated” date, and we will make reasonable efforts to notify you of material changes.
